The playbook

Grant writing eats nonprofit calendars because every proposal starts from a blank page. It doesn't have to. Here's the workflow — three passes, one afternoon, and a rule that keeps you honest.

Pass 1 · 45 minutes

Feed it the raw material

An AI tool is only as truthful as what you hand it. Gather four things before you type a single prompt: the RFP or application guidelines, your organization's fact sheet (mission, programs, budget, outcomes — the real numbers), one past proposal that worked, and the funder's own words about what they fund (their website, not a summary of their website). Put all of it in front of the tool. What goes in grounded comes out grounded. What goes in vague comes out fabricated.

Pass 2 · 90 minutes

Draft section by section, with the audit running

Work one section at a time — need statement, approach, budget narrative, evaluation — not the whole proposal at once. After each section, run last week's skeptic's audit on it: where did every number come from? Can you trace each statistic to its source? If the draft contains a fact you can't source, delete the sentence. This is the whole game: AI drafts fast, but you are the verification layer.

A proposal with one invented statistic is worse than a late proposal.
Pass 3 · 45 minutes

Read it as the funder

Print it. Read it aloud with a red pen, pretending you are the program officer who will reject 90% of what crosses their desk. Cut every sentence you couldn't defend in a site visit. Cut every adjective doing the work a number should do. What's left is shorter, truer, and more fundable than what you started with.

That's the afternoon. The tool did the typing; you did the thinking. And the thinking is the part funders pay for.

Time saved: the three weeks a proposal usually steals. Value: a draft you can defend — which is the only kind worth submitting.
